What an AI assistant can't do — and how the hand-off to your team works
A good assistant knows its limits. Here is what to keep for your team, when it should hand over, and what a useful hand-off contains.
The best thing a booking assistant can do is know when to stop. Guests forgive a short wait for a person far more easily than a confident wrong answer. So before you choose or switch on any assistant, it helps to be clear about what it should not do, and how the conversation reaches your team when it needs to.
What an assistant should not do
- Guess. If a price, a policy or an availability is not in your information, it should say so rather than invent an answer.
- Take responsibility for sensitive matters. Serious allergies, safety concerns and medical situations need a person.
- Handle complaints and refunds alone. These need judgement, empathy and authority to decide.
- Make promises you have not authorised. Special discounts, exceptions and upgrades are your call.
- Replace your team. It takes the repetitive load so staff can spend their time on guests.
Who handles what
The assistant
- Routine questions about hours, rooms, menu and policies
- Checking real availability
- Taking standard bookings
- Answering at any hour, in the guest’s language
Your team
- Complaints, refunds and exceptions
- Large groups and special events
- Sensitive health or safety questions
- Anything the assistant is not sure about
When the assistant should hand over
| Signal | Example | What should happen |
|---|---|---|
| The answer is not in your information | A guest asks about a service you never listed | Say it will check, and pass the conversation to staff |
| The guest is upset | A complaint about a past stay | Hand over promptly with the full conversation |
| The guest asks for a person | Can I talk to someone? | Hand over without arguing |
| The request is unusual | A private event, a large group | Pass it on with the details gathered so far |
What a good hand-off contains
- Who the guest is and how to reach them.
- What they asked in their own words.
- What has already been answered, so nobody repeats it.
- How urgent it is, and any date involved.
- A clear way to take over, ideally in one tap on a channel your team already uses, such as Telegram or Slack.
Our 24/7 hotel assistant and restaurant assistant are built to answer from your own information and hand the conversation to your staff in one tap when a person is needed.
Frequently asked questions
Will guests be annoyed to be passed to a person?
Rarely. They are more annoyed by a wrong answer. A clear message that a team member will follow up is usually welcome.
What if nobody is available when it hands over?
Decide in advance what the guest is told, such as when you will reply, so they know what to expect.
Can I decide what gets handed over?
Yes. Write your rules down first — which situations go to a person and who is notified — and check that the setup follows them.
